(Payment & Subscription Terms)

By purchasing or subscribing to the service, you are deemed to have read and agreed to the following terms and conditions.

The following terminology applies throughout these Terms:
“Client”, “You”, “Your” refers to you, the purchaser of the service.
“The Company”, “We”, “Us”, “Ourselves” refers to Electronic Receptionist Limited.
“Party”, “Parties” refers to both the Client and the Company. (Company No. 16308468)
Registered office at Lander Close Poole
Terminology in singular, plural, or varying capitalisation is treated interchangeably.


Privacy Policy

Please review our Privacy Policy. All data handling, call recording, and communication processing follow the rules outlined in that document.


Service Description

We provide AI-powered call handling for businesses, including:

  • Answering inbound calls

  • Capturing caller information

  • Processing booking details (where applicable)

  • Delivering call recordings and transcripts to the Client

Usage is charged per minute as outlined below.


Pricing, Subscriptions & Usage Fees

  • Monthly subscription fees are billed via Stripe at the rate selected during checkout.

  • Usage charges (22p per minute) are billed separately on a rolling basis and may occur after cancellation.

  • A 12-month discounted plan is available for Clients committing to a full-year term.

  • All prices are listed in GBP.


Billing & Payments

  • Subscriptions renew automatically each month unless cancelled.

  • Usage charges may be billed at any time after they occur.

  • Failed payments may lead to service suspension.

  • The Client is responsible for maintaining accurate and valid payment details.


Refunds

  • Refunds are not guaranteed.

  • Any refunds are at the sole discretion of the Company.

  • Usage charges remain payable in all circumstances, including after cancellation.


Cancellation Terms

  • Clients may request cancellation at any time via team@electronicreceptionist.co.uk.

  • Cancellation does not take effect immediately.

  • A mandatory resolution call must occur before cancellation is final.

  • Monthly subscription charges continue until this call has taken place.

  • After the call, cancellation is processed and no further subscription fees apply.

  • A final usage-per-minute invoice will still be charged after cancellation.


12-Month Discounted Contract Terms

  • Clients entering a 12-month contract commit to the full term.

  • Early termination requires payment of a cancellation fee equal to the discount received.

  • Example:

    • Standard price: £1,200

    • Discounted price: £900

    • Discount: £300

    • Cancellation fee: £300

  • Usage charges continue to apply after termination.

  • Clients may cancel renewal after the initial 12-month term without penalty.


Availability

  • We aim for 99% uptime.

  • Uninterrupted or error-free service is not guaranteed.

  • Maintenance may cause temporary downtime.

  • All support queries should be directed to team@electronicreceptionist.co.uk


Client Responsibilities

Clients must:

  • Ensure their phone system is compatible with the service

  • Provide accurate business and contact details

  • Use the service in compliance with all applicable laws


Data Handling

  • Call recordings, transcripts, and caller data are processed solely to deliver the service.

  • All data is managed under our Privacy Policy.

  • Clients may not use the service to process unlawful, harmful, or fraudulent communications.


Intellectual Property

All scripts, prompts, workflows, software, logic systems and voice configurations remain the exclusive intellectual property of Electronic Receptionist.
No rights are transferred to the Client.

Exclusions & Limitations

To the fullest extent permitted by law, the Company:

  • Excludes all warranties and representations related to service operation

  • Excludes liability for loss of business, profits, data, or consequential damages

  • Does not exclude liability for death or personal injury caused by negligence

  • Provides no guarantee of call conversion, booking success, or business performance

Your statutory rights are unaffected.


Termination by the Company

We may suspend or terminate service for:

  • Non-payment

  • Misuse or illegal activity

  • Abuse of staff

  • Breach of these terms


Notification of Changes

We may update these terms from time to time. Continued use of the service signifies acceptance of any updates.


Governing Law

These terms are governed by the laws of England and Wales.
By using the service, you consent to the exclusive jurisdiction of the English courts.

By completing payment, you confirm that you have read, understood, and agree to these terms and conditions.
